In senior living, the path from first phone call to move-in can take weeks or months and involve a whole family. A daughter calls on Monday, tours on Thursday, goes quiet for two weeks, then calls back after a hospital stay. If the community only has a few notes on a sticky pad, that conversation may be lost. Tracking inquiries in an organized way helps the team follow up consistently and understand what is working. That is what a CRM, or customer relationship management tool, does, and it does not have to be complicated.

What you need to track

Start by deciding what information the team needs at each stage. A basic inquiry record might include:

Prospective resident name and the family contact, with relationship.

Phone and email, and the preferred way to reach them.

Date and source of the inquiry, such as website, referral, hospital discharge planner or sign.

Care needs and timeline: urgent, within a few months, or exploring.

Budget or payment source, as the family chooses to share it.

Tour date and who led it.

Notes from each conversation.

Next step and date.

Current stage.

Outcome, such as moved in, chose another community or not ready, with reason.

Keep the form short. Staff who face a long form will skip it.

Define your stages

A simple pipeline makes it clear where each inquiry stands. For example:

Adapt the names to your community. What matters is that everyone uses them the same way.

Choose a tool that fits

You do not need an expensive system to begin. Options range from simple to sophisticated.

A shared spreadsheet

For a single small community, a well-structured spreadsheet with drop-down lists, a "next follow-up date" column and filters can work well. It is cheap and easy to start, but it has limits as volume grows or more people edit it.

A general-purpose CRM

Many affordable CRM products offer contact records, pipeline views, reminders and email integration. They suit organizations that want more automation without paying for industry-specific software.

A senior-living CRM

Some products are built specifically for senior living and include features for tours, assessments and move-in workflows. These can be worthwhile for larger operators, but compare costs and ask about integration with your other systems.

Whatever you choose, make sure access is limited to those who need it, sign-in is protected with multi-factor authentication where available and the vendor can explain how they protect personal information. Inquiry records often include health details, so treat them carefully. If a vendor will handle protected health information on your behalf, ask about a business associate agreement.

Build good habits

The tool matters less than the routine.

Respond quickly. Families often contact several communities at once. Set a target for how fast new inquiries receive a reply.

Log every contact. If it is not written down, it did not happen.

Always set a next step. Every record should have a date for the next follow-up.

Follow up in a human way. Reminders are a prompt, not a script. Families remember warmth.

Review the pipeline weekly. Spend fifteen minutes looking at open inquiries, tours scheduled and overdue follow-ups.

Record why people did not move in. Patterns can reveal issues with pricing, availability, care level or communication.

Measure what matters

A few simple numbers will tell you a lot:

Inquiries per month by source.

Percentage of inquiries that become tours.

Percentage of tours that become move-ins.

Average time from inquiry to move-in.

Common reasons for lost leads.

Review them monthly and use them to decide where to spend marketing effort and how to improve the process.

Connect it with the website

If your website has a contact form, make sure submissions go straight into your tracking tool, or at least to a monitored shared mailbox, not one person's inbox. Test it regularly. A form that quietly fails is a lost family.

Keep it private and tidy

Remove duplicates, keep records accurate and set a retention approach for old inquiries. When a lead becomes a resident, move only the information needed to the clinical and billing systems.
