Therapists in a skilled nursing facility spend their days moving: gym, dining room, resident rooms, back to the gym. Yet much of their documentation tools assume a desk. When the technology does not fit the way rehab teams work, notes pile up at the end of the day, treatment minutes get recorded from memory and frustration builds.
This post covers how to equip physical, occupational and speech therapy staff with technology that supports accurate documentation and treatment tracking, for administrators and rehab directors planning purchases or improvements.
Before buying devices, shadow the team for a day or two. Note where therapists document, how long it takes, what they carry and where they lose time. Typical pain points include:
Walking back to a shared computer after every session.
Slow logins that repeat many times a day.
Weak Wi-Fi in the therapy gym, outdoor areas or far resident wings.
Duplicate entry between the therapy software and the facility's EHR.
Difficulty capturing treatment start and stop times accurately.
Many facilities use a dedicated rehab documentation platform, either from their EHR vendor or a specialty vendor. Questions to ask include how it records minutes and treatment details, how it supports the plan of care and progress reporting, and whether it integrates with your EHR so information does not need to be typed twice. Confirm integration details directly with the vendors instead of assuming.
Mobile devices let therapists document at or near the point of care. Consider:
Tablets for lightweight bedside and gym use, with a sturdy case and a stand.
Laptops for heavier documentation, evaluations and reports.
Battery life that lasts a full shift, with charging stations in the gym.
Screen and keyboard that suit the software, since some applications work poorly on small screens.
Easy cleaning, since devices move between rooms and are handled with gloves and sanitizer.
Walk the entire area therapists use, including the gym, hallways and outdoor spaces, and test signal strength. Gym equipment and mirrors can interfere with coverage. A tablet that disconnects midsession will never be trusted.
Therapists sign in constantly. Options such as single sign-on, badge tap or short-lived sessions on managed devices can cut that friction. Security still matters, since these devices carry PHI. Use individual accounts, screen locks and multi-factor authentication where it fits the workflow.
Timers or time capture tied to each session, to support accurate minute reporting.
Schedules that show caseloads, evaluations due and recertification dates.
Alerts for progress report deadlines and plan-of-care updates.
Outcome measures captured in structured fields, so progress is easy to review.
Reports that show productivity, caseload and documentation timeliness for the rehab director.
Documentation must always reflect actual care delivered. Technology should make accurate records easier, never encourage estimation.
Some departments add headsets for speech therapy, secure carts, wall-mounted displays for scheduling, or tablet apps for exercises and cognitive tasks. Evaluate each for real use, privacy and maintenance. Remember that apps and devices touching PHI need to be covered in your risk analysis.
Encrypt devices and enable remote wipe for lost equipment.
Keep devices patched and managed centrally.
Avoid personal devices for PHI unless covered by clear policy and controls.
Use business associate agreements for vendors that handle PHI.
Keep photos and videos of residents under your facility's consent and storage rules.
New therapists and contract staff need short, practical training on the documentation system and devices. Identify a go-to person on the team who can answer questions quickly. Ask for feedback every few months, since needs change.
Look at documentation timeliness, time spent charting after hours and staff feedback before and after changes. If therapists still finish notes at home, the setup needs work.
UnityCare IT can assess Wi-Fi in your therapy areas, recommend and manage devices, and support the connection between your rehab software and EHR. If your therapy team is working around the technology, we can help fix it.
